Job DescriptionWe are seeking a highly skilled and proactive Executive Assistant to support the 4 executives. This role demands a sense of urgency, strong problem-solving abilities, and the agility to adapt to changing needs in a fast-paced environment. The ideal candidate will be an expert in calendar and travel management, demonstrate sound judgment, and embody a positive, can-do spirit. The ability to anticipate needs, take ownership of projects, and manage competing priorities is essential. The successful candidate will also be highly responsive, providing quick and efficient support while maintaining exceptional attention to detail.
Key Responsibilities:
- Manage complex executive calendars with precision, balancing competing priorities and scheduling high‑level internal and external meetings.
- Serve as the primary liaison between the executives and internal teams, board members, and external stakeholders.
- Coordinate comprehensive domestic and international travel arrangements, including detailed itineraries and expense management.
- Draft, edit, and manage correspondence, presentations, and reports on behalf executive.
- Maintain project plans, track progress, and collaborate with cross‑functional teams to ensure alignment and successful execution.
- Identify opportunities to streamline workflows and implement innovative solutions that enhance efficiency and organizational impact.
- Support the planning and execution of board meetings and executive team meetings, including preparing agendas, presentations, and briefing materials.
- Coordinate the development and distribution of materials for Board of Directors and executive leadership meetings.
- Assist with special projects, conduct research, and follow up on action items to ensure companywide initiatives remain on track.
- Handle sensitive information related to company operations, workforce, and financial matters with absolute discretion.
Skills:
- Proven experience supporting C‑suite executives or multiple senior leaders within a matrixed organization.
- Exceptional organizational and time‑management skills, with the ability to manage multiple priorities in a fast‑paced environment.
- Strong analytical, problem‑solving, and critical‑thinking abilities.
- Outstanding written and verbal communication skills.
- Excellent Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern collaboration tools.
- Demonstrated ability to handle confidential information with integrity.
- Sound judgment and a proactive, solutions‑oriented mindset.
- Ability to handle ambiguity and adapt to rapidly changing priorities.

- High degree of discretion, adaptability, and professionalism.

- Bachelor’s degree or equivalent professional experience.
- 5+ years of experience as an Executive Assistant or in a similar role supporting senior leadership in a corporate environment.
- Demonstrated experience managing complex projects.
Pay Transparency: $59/hr, contract maternity coverage
